ACT Group brand portal

DIGITAL ASSET MANAGEMENT
INFORMATION ARCHITECTURE

By 2024, ACT had a mature brand, a growing marketing team, and still no brand portal. I built one: a home for the guidelines and every asset they describe, and the starting point for every external creative we work with.

CONTEXT

ACT is a global B2B decarbonization partner with around 300 employees. Marketing ships campaigns, events, and regional programs year-round, and more and more of our work comes from external creatives. Each of them needs onboarding: access to the guidelines, logos, and templates. Before the portal, that meant gathering files by hand, project by project, from SharePoint folders with no real version control.

APPROACH

I owned the project end to end. First, I defined the portal's job, since SharePoint wasn't going anywhere. SharePoint is for work in progress. The portal is for anything final, starting with the brand itself. Then the marketing operations manager and I audited every existing asset and built the taxonomy and permissions from it.

Once the structure was in place, I rebuilt the brand guidelines as a digital guide inside the portal. Half a year after kickoff, we launched to marketing. Later, we refined the taxonomy based on how the team actually searched and used the portal. About a year in, I rolled it out to the whole company.

DECISIONS

Rules and files in one place

The guidelines cover the full brand in 61 pages, from positioning and tone of voice to logo, color, type, and imagery. Every chapter ends with the assets it describes. Read the logo rules, download the logo on the same page.

No more onboarding packs

New agencies and freelancers sign in with SSO like everyone else and start with the guidelines. Templates, logos, imagery, and past campaigns are already there. Restricted access keeps them to what they need.

Metadata, not folders

11 properties and 110 options, built around how people search: asset type, product, region, language, channel, campaign. Each asset type shows only its own subtypes.

Shortcuts for people outside marketing

Outside marketing, sales team would use the portal most and know the brand least. The homepage leads with sales materials and Employee Essentials (email signatures, LinkedIn banners, Teams backgrounds), plus onboarding videos and an FAQ.

RESULTS
RESULTS

The guidelines get read

6,600+ views so far. After the brand philosophy, the most visited chapters are the ones people design with: color, logo, imagery, typography.

01.

Partners onboard themselves

1,800+ guideline views came from external users. New agencies and freelancers get a login, not a folder of files.

02.

No more"where's the logo?" messages

10,700+ downloads so far, and the logo is still the top one. People just mostly stopped asking me for it.
